Choosing a Bank Statement Converter: What Actually Matters
· 5 min read
Most bank statement converters demo well on a clean, single-page, digitally generated PDF. Practice work is not that. This is the checklist we would apply before putting any converter in front of client documents.
- AES-256 encrypted
- TLS 1.3 in transit
- Automatic deletion
- Never used for AI training
Does it verify its own output?
A converter that cannot tell you whether the extraction reconciles is asking you to check every line by hand — which removes most of the time saving.
Every conversion runs a balance check: the opening balance plus the sum of all extracted transactions must equal the closing balance printed on the statement. The result is shown before you download, so a mis-read figure surfaces at conversion time rather than at review.
Does it handle the awkward files?
The difficult inputs are the ones that arrive most often from clients.
- Scanned or photographed statements with no text layer.
- Password-protected PDFs emailed by the bank.
- Multi-page statements with repeated headers and carried-forward balances.
- Layouts that split debits and credits across separate columns.
What are the retention and training terms?
Read the terms before uploading anything. Two clauses matter: how long files are stored, and whether uploaded content can be used to improve or train models. Ambiguity on either point is a reason to stop.
Retention is chosen at upload time — immediately, one hour, 24 hours or 30 days — and enforced automatically, so client documents do not sit in a shared drive after the work is done.
Does the export fit your ledger?
Structured columns for date, description, reference, debit, credit and balance import cleanly into common bookkeeping packages. A single merged description column does not.
